Reproduction Requirements and Design Guide

MLA's print publications are produced in an all-digital workflow. Advertisers must submit their ad material in a digital format. We prefer files posted to our FTP site (see instructions below). Alternatively, CD-ROMs or disks can be mailed to MLA. A print proof and a directory of files must be sent with a disk.

Most MLA publications are printed sheetfed offset. Adobe InDesign for PC is used in MLA's operations, although our printers can handle multiple programs and platforms. To achieve the best results, it is important to comply with MLA's and its printing partners' standards.

Preferred file formats

We prefer you submit your art as a high-resolution PDF. We also accept EPS or TIF files.

Spot Colors

All spot colors and RGB must be converted to CMYK before sending to MLA.

Resolution

All files and accompanying artwork must be at least 300 dpi.

Bleed

Add 10% to rate. Bleeds must be specified on insertion order form. All bleeds must be included in the file. Bleeds should not exceed ¼ inch past trim size. All cover ads bleed.

File labels

Be sure to use lowercase, alpha-numeric characters when naming your files. (Avoid symbol characters, spaces, and most punctuation marks. It is okay to use the period, underscore, and hyphen.) Make sure to label each file with your company name as part of the file name followed by underscore and the name of the publication it is being submitted for and the correct extension. Example: yourcompany_mlanews.pdf

To top of page Instructions for sending digital files

Three options are available for sending digital files to MLA. We recommend you submit electronic files one week prior to the published material deadline.

1. For secure FTP access instructions, please contact Elizabeth Rodriquez, MLA's graphic designer and production assistant, or 312.419.9094 x24, for FTP username and password.

Post files to MLA's FTP site at ftp://pubftp@blueline.mlanet.org using a current browser.

In Internet Explorer, you may be prompted to download the FTP client, this is okay. If you are using dedicated FTP client software, your FTP host address is blueline.mlanet.org.

You will see a list of folders and files; open the relevant folder and drag your file from your local file folder to the main area, and it will be uploaded. Send an email to Elizabeth Rodriquez after the file has been posted, letting our production assistant know it is there.

2. Email an attached file to Elizabeth Rodriquez.

MLA can accept files up to 20MB in size; we cannot accept compressed *.zip or *.sit files. A PDF proof must accompany all native design files.

3. Send disk or CD-ROM to shipping address below.

Disks must be marked with the advertiser's name or product name and the publication/issue in which ad will be placed. Some type of proof must be sent with the disk.

The file name and the name and version of the software program used to create the ad is helpful. Please include name, phone number, and email address of the creator of ad, in case we have questions about the file.
